 Welcome to Reform Society, a boutique Pilates experience designed to elevate your strength, clarity, and wellbeing. These Terms of Service (“Terms”) govern your access to and use of our studio, website, mobile applications, and related services (“Services”). By engaging with our Services, you agree to be bound by these Terms.

 1. Definitions

  • “Client” refers to any individual who accesses or uses Reform Society’s Services.

  • “Services” include in-studio classes, private sessions, wellness services (including red light therapy), digital content, retail purchases, and any other offerings provided by Reform Society.

  • “Platform” refers to our booking and account management system, currently powered by Mariana Tek.

  • “Studio” refers to Reform Society’s physical location(s) and affiliated spaces.

 2. Eligibility & Participation

  • You must be 18 years or older to participate. Minors aged 15–17 may participate with signed consent from a parent or legal guardian (certain classes/services may be 18+ only).

  • You affirm you are in good physical condition and have no medical condition that would prevent safe participation.

  • You agree to follow all instructor’s guidance and disclose any relevant health conditions prior to participation.

 3. Booking & Class Access

  • All classes must be booked via the Platform. Walk-ins are not guaranteed.

  • Class availability is subject to capacity, instructor scheduling, and studio discretion.

  • Late Arrival: Clients arriving more than 5 minutes after class start may be denied entry for safety reasons and will forfeit the applicable credit/fee; no refunds or credits will be issued for missed or partially attended classes.

 4. Memberships & Payments

  • Auto-Renewal: All memberships, including 3-month and 12-month terms, auto-renew unless canceled with at least 14 days’ notice prior to the renewal date.

  • Founding Member Pricing: Locked for 12 months and non-cancelable during that term.

  • Non-Refundable Purchases: All purchases are non-refundable and non-transferable, unless otherwise stated in writing. This includes memberships, class packs, and drop-ins.

  • Payment Issues: Payment failures may result in suspension of access until resolved.

  • Taxes: All prices exclude applicable taxes; you are responsible for any local, state, or federal taxes.

4A. Class Packs (Expiration; Use)

  • Expiration: Class packs expire as stated at purchase: 5-Class Pack: 30 days; 10-Class Pack: 90 days from purchase date.

  • No Extensions: Expired classes are not refundable or extendable. Extensions may be offered at the Studio’s sole discretion for documented medical reasons or Studio-initiated disruptions.

  • No Transfer/Sharing: Class packs are for individual use only and cannot be shared or transferred.

5. Cancellation & No-Show Policy

  • Group Classes: Cancel at least 12 hours before class to avoid penalties.

  • Late Cancel/No-Show: Results in loss of the session credit (for memberships or class packs). No refunds.

  • Account Action: Excessive no-shows may result in account review or suspension.

6. Membership Holds & Changes

  • Holds: One hold allowed per 12-month membership; minimum 2 weeks, maximum 4 weeks; 7 days’ prior notice required.

  • Tier Changes: Upgrades/downgrades may occur at the end of a membership term; mid-term changes are not permitted.

7. Studio Conduct & Etiquette

  • Grip socks required; clean, fitted attire recommended.

  • Respect instructors, staff, and fellow clients. Disruptive or inappropriate behavior may result in termination of access without refund.

  • Phones silenced. No filming/photography during class without prior consent (see Section 21).

8. Health & Safety

  • The Studio may refuse service to any client who appears ill, intoxicated, or otherwise unfit to participate.

  • Clients must follow posted health guidelines, sanitation protocols, and instructor directives.

  • Instructor substitutions may occur without notice.

9. Assumption of Risk; Medical Disclosure; Waiver

  • Physical activity involves inherent risks. You voluntarily assume all risks and release Reform Society, its instructors, and affiliates from liability to the fullest extent permitted by law.

  • Medical Disclosure: You affirm you have disclosed all relevant health information and will update the Studio of any changes. The Studio is not responsible for injuries or issues resulting from undisclosed or misrepresented conditions or from disregarding instructor guidance.

10. Privacy & Data Use

  • We collect personal data to facilitate bookings, communication, and service delivery. See our Privacy Policy [insert link].

  • By using our Services, you consent to receive transactional and promotional communications; you may opt out of marketing emails at any time.

  • We do not sell or share your personal data with third parties except as required to deliver Services (e.g., payment processors, booking platforms).

11. Digital Services & Account Responsibility

  • You are responsible for maintaining the confidentiality of your account credentials.

  • Misuse of our digital platforms may result in account suspension or termination.

 12. Intellectual Property

  • All content, branding, and materials — including logos, class formats, and digital assets are the property of Reform Society. Unauthorized use or reproduction is prohibited.

13. Third-Party Services

  • We use third-party platforms (e.g., Mariana Tek & Stripe). These services have their own terms and privacy policies.

  • Reform Society is not liable for issues arising from third-party failures.

 14. Accessibility

  • We strive to provide inclusive access. If you require accommodations, please contact us in advance so we can support your needs.

 15. Force Majeure; Studio Disruptions

  • Reform Society is not liable for failure to perform due to events beyond its control, including but not limited to weather-related closures, utility outages, instructor emergencies, natural disasters, pandemics, government restrictions, or facility closures.

 16. Limitation of Liability

  • Reform Society shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to your use of the Services. Our total liability shall not exceed the amount paid by you for Services in the six months preceding the claim.

 17. Indemnification

  • You agree to indemnify, defend, and hold harmless Reform Society, its affiliates, instructors, employees, and agents from any claims, liabilities, damages, losses, or expenses (including legal fees) arising out of your use of the Services, violation of these Terms, or infringement of any third-party rights.

 18. Non-Harassment Policy

  • Zero tolerance for harassment of any kind; verbal, physical, or digital toward instructors, staff, or fellow clients. Violations may result in immediate termination of access without refund and may be reported to authorities.

 19. Changes to Terms

  • We may modify these Terms at any time. Updates will be posted on our website and communicated via email when appropriate. Continued use constitutes acceptance of the updated Terms.

 20. Governing Law & Dispute Resolution

  • These Terms are governed by the laws of the State of New York; venue is Nassau County, NY.

  • Dispute Escalation: We encourage clients to raise concerns with Studio management first. If not resolved, the parties agree to engage in non-binding mediation in Nassau County before filing in court (small claims and requests for injunctive relief excluded).

  • Nothing in this section limits party’s right to seek urgent injunctive relief.

 21. Photography & Marketing Consent (Opt-Out Available)

  • By attending classes, you consent to incidental use of your image in group photos or video captured for Studio marketing.

  • You may opt out at any time by notifying us in writing at reform_society@outlook.com. We will make reasonable efforts to honor your preference going forward.

 22. Private Sessions & Wellness Services (incl. Red Light Therapy)

  • The Studio offers private 1:1 sessions and wellness services, including red light therapy, at an additional cost.

  • Eligibility & Safety: Red light therapy is 18+ (minors require parent/guardian consent and Studio approval). Eye protection is mandatory. Certain health conditions and medications may be contraindicated; eligibility is determined via a separate Red Light Therapy Informed Consent & Waiver [insert link], which must be signed prior to use.

  • No Medical Claims: Wellness services are for general wellbeing and are not intended to diagnose, treat, cure, or prevent any disease.

  • Scheduling: Cancellations for private/wellness sessions require 24 hours’ notice or the session/credit is forfeited.

  • Adverse Reactions: If you experience discomfort, irritation, or other adverse effects, discontinue use immediately and inform the Studio.

 23. Introductory/Trial Offers

  • Introductory offers are valid one time per client and may not be combined with other promotions.

  • The Studio may modify or discontinue promotions at any time.

  24. Membership Perks Clarification

  • Perks available with certain membership tiers (e.g., guest passes, priority booking, monthly red-light session) must be used within the current month and do not roll over.

  • Perks have no cash value and are non-transferable.

 25. Communications & Notices

Official notices may be provided via email to the address on file or via the Platform. It is your responsibility to keep contact information current.
